OtterClose (otterclose.com) is a transaction coordination app for real estate teams, made by Webgophers, Inc., a Georgia corporation doing business as Giant Otter Media (“Giant Otter Media”, “we”). This page says what information it keeps, why, and who else touches it. Questions: support@webgophers.com.

Giant Otter Media also makes OtterReel (otterreel.com), which uses the same “Sign in with Google” screen and gets the same basic details from Google described below. OtterReel’s own policy is at otterreel.com/privacy.

  1. 1. Who can sign in

Only people a team owner has added. You sign in with your Google account; an account that isn’t on a team’s list is turned away, and each person sees only the team they belong to.

  2. 2. What we get from Google when you sign in

Sign-in asks Google only for your name, email address, profile photo and Google account ID (the “openid”, “email” and “profile” permissions). We use them to know it’s you, match you to your team seat, and show your name and photo to your teammates.

We never see your Google password. Signing in does not give OtterClose access to your Gmail, Drive, Calendar or contacts, and we don’t keep a Google token for your account.

  3. 3. What your team puts in

Deals, contracts and other documents, client and vendor contact details, dates, tasks, notes, team chat, call and text logs, and leads. It is kept so the app can do the work: draft and file paperwork, send for signatures, remind the team and coordinate the people on each deal.

  4. 4. Your team’s shared mailboxes and calendar

A team can let OtterClose send from, and read, its shared business mailboxes (for example a “tc@” address) and add dates to a team calendar. That is switched on by the team’s Google Workspace administrator for those shared accounts — not through your sign-in, and never for a personal mailbox.

  5. 5. Who else handles it

Only services that help run the app, each for its own job:

    • Railway — hosting and the database
    • Google Workspace — sign-in, the team’s shared email, calendar and Drive folders
    • BoldSign — e-signatures
    • AgentPhone — the team’s texts and calls
    • xAI — the AI that drafts answers and reads documents for the team
    • Lofty — the team’s CRM, if the team uses it
    • Apple and Google push services — phone notifications

We don’t sell information, show ads, or share it for anyone’s marketing.

  6. 6. Google user data

OtterClose’s use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. Google user data is used only to sign you in and run the app for your team; it is not sold, not used for advertising, and not used to train AI models.

  7. 7. How long we keep it, and deleting it

Team records are kept while the team uses OtterClose. When a team owner removes you, you can’t sign in and your sessions end at once. To have your sign-in details or your team’s data deleted, email support@webgophers.com; we answer within 30 days. Some records may be kept longer where the law requires it (real estate transaction files, for example).

  8. 8. Keeping it safe

Everything travels over HTTPS. Sign-in sessions are stored only as a fingerprint, expire on their own, and can be ended by the team owner. Saved passwords for outside services are encrypted.

  9. 9. Children

OtterClose is for real estate professionals and isn’t meant for anyone under 18.

  10. 10. Changes

If this policy changes, the new version goes on this page with a new date.
